How to trigger a message to a bot user or their manager once a task has been completed

You may want to be alerted to the fact that a person using your bot has reached a particular point or completed a survey. For example, a new employee completing section one of an onboarding bot. The 'send a message to a user' part, enables you to configure a message to either be sent to a user's manager OR to another specified bot user.

Step by step guide

1) Build out your bot flow

In the message builder, add all the parts you want to send to the current bot user at that time. In the example below the user has just finished a section of on-boarding:


2) Add the 'send message to user' message part

Click to add the 'send message to user' part at the bottom of the parts list in the message builder:

3) Configure your recipient settings

Click 'Choose recipient' in the message part

Then configure your settings:

To send a message to a specific user, for example someone in HR, simply type in a user's email address; their address should then appear in the dropdown for you to collect and click save.

ℹ️ Please note for Workplace bots - you must have 'Read user email addresses' ticked on your integration to enable this feature to work.

To send the message to the manager of the person who is currently using the bot, select "Send to the manager of the user". The bot will then be able to match up the user to their manager through the org chart/Azure:

ℹ️ Please note for Workplace bots - you must have 'Read group org chart' ticked on your integration to enable this feature to work.

ℹ️ Please note for Teams bots - the manager must have received a message from the bot in order for this feature to work. We recommend setting up a broadcast to all managers who could potentially be sent a message by this feature, in order to add them to the bot audience. This will then allow the send message to manager feature to work successfully, and properly introduce the bot to the manager, so they're not caught off-guard by the message sent.

4) Add text to your message part

Add your own text to that message part that you wish to send to the manager/specific user.

This message will now be sent when a bot user triggers it. The above example would look like this:
